Office Manager

The Mission

The mission of International Justice Mission is to protect people from violent forces of injustice by securing rescue and restoration for victims and ensuring public justice systems work for the poor.

The Need

IJM is seeking an Office Manager to oversee the general operations of the headquarters office and additional subleased space in Washington, DC, develop and administer efficient office systems and procedures, and manage special projects as required by the office of the Chief Operating Officer (COO).

Responsibilities
  • Supervise the Receptionist/Administrative Assistant;
  • Schedule and monitor the reception coverage calendar;
  • Maintain internal records such as IJM Service Directory, emergency contact lists and broadcast database;
  • Consult with IS on technical features of the VoIP phone system and SharePoint, and continue to acclimate staff to these new systems;
  • Develop, implement, and maintain a business continuity plan;
  • Develop and maintain efficient office systems and procedures related to:
    — Filing systems, to include hard copy files as well as electronic document storage and retention, and agency library;
    — Mail and electronic communications such as e-mail and voicemail;
    — Shipping; and
    — Other special events under executive initiative;
  • Manage the physical office space by:
    — Liaising with landlord and property manager;
    — Managing office assignments, ordering furniture and equipment for all HQ staff;
    — Controlling inventory of shared materials such as letterhead and other office supplies;
    — Training new staff, interns and volunteers in office and administrative procedures;
    — Ensuring office is kept clean, orderly, and good condition and
    — Solving administration problems as they arise;
  • Direct all activities related to IJM’s overall office space expansion including:
    — Managing build-out contractors;
    — Working with architectural firm regarding IJM’s needs and plans for space; and
    — Coordinating internal task force and decision making related to expansion space;
  • Manage IJM’s sub-leasing function:
    — Coordinate the review and selection of sublessors;
    — Serve as point of contact for sublessors; and
    — Coordinate and execute sublease agreements;
  • Assist with mission-wide events;
  • Assist the office of the COO as needed; and
  • Perform other duties as assigned.
Requirements
  • Bachelors degree;
  • A minimum of three years experience developing and managing high-level administrative systems;
  • A minimum of two years experience managing a professional office environment;
  • Experience managing an office move, office space expansion and sublessors, strongly preferred;
  • Procurement experience helpful; and
  • Proficiency in Microsoft Office, including Excel.
