The Need
IJM is seeking a qualified and energetic professional to assist the Finance department in managing asset tracking systems and providing administrative support. The successful candidate will have considerable knowledge of accounting principles and the ability to carry out multiple administrative tasks to completion with minimal oversight.
Responsibilities
- Manage HQ and field office asset tracking systems, recording assets in asset module. Calculate and record depreciation and gains and losses on sales and disposals, reconcile the fixed assets in the General Ledger to global inventory; and establish system for tracking mobile assets.
- Maintain tables for financial system for all locations, departments, accounts, projects, transactions codes, users, etc. Update as necessary;
- Assist with reporting to IJM leadership and Board members;
- Provide administrative support for VP of Finance and other department members and serve as Finance department representative to administrative staff organization-wide;
- Assist with preparation and follow-up efforts before/after departmental meetings, including meetings of the Finance, Administration, and Audit Committee of the Board of Directors;
- Arrange travel for the Finance department, including logistical preparation, materials preparation and appropriate follow-up;
- Manage IJM Company credit card system (ordering new cards, managing database, handling staff issues);
- Draft correspondence including letters, proposals, credit checks and reports;
- Assist in the planning and coordination of audits and reviews and in preparation of tax returns;
- Manage relationships with financial monitoring organizations, ensuring timely reporting and that IJM is evaluated fairly;
- Assist with needed research related to accounting information (auditor bids, investment tools, credit card companies, lockbox options, etc.);
- Develop and coordinate training schedule for new staff and periodic staff-wide training sessions;
- Compile and organize documentation for meetings, trainings, projects, reports and office archives;
- Coordinate assignments and provide leadership where needed for Finance interns and volunteers;
- Ensure complete, personalized and quality customer service to all outside constituents and internal staff;
- Assist in the overall organization and systematizing of the Accounting department’s practices and efforts; and
- Perform other related duties as assigned.
Required Skills and Experience
- B.S. in Accounting or Finance or business with an accounting concentration;
- Minimum of 1 year experience in accounting or auditing;
- Understanding of accounting principles: debits and credits, cash versus accrual accounting, depreciation methods, etc.
- Exceptional ability in written and oral communications;
- High level of proficiency with Microsoft Office;
- Superior administrative capacity to manage a large number of projects and tasks simultaneously and to complete them with minimal oversight;
- Demonstrated ability to develop effective working relationships;
- Demonstrated ability to manage and maintain Excel worksheets; and
- Accounting software experience a plus.
