The Need

After almost 25 years of continued growth and operational success in pioneering the work of protecting those who are experiencing poverty from violence, IJM has become a $100+ million organization. As IJM continues this trajectory of growth and scaling of its impact, with the Vision to protect 500 million people by the year 2030, IJM is seeking an Administrator to lead, establish and manage administrative activities for IJM’s new Indonesia office

This position is based at Jakarta, Indonesia and reports to Field Office Director, Indonesia.


Leadership and Management

  • Manage all general office administrative operations, procedures, regular meetings and policies to ensure smooth and professional functioning of the office environment.
  • Manage day to day HR operations, including recruiting, on-boarding of new staff, payroll administration, staff professional development program, performance management, compensation and benefits, employee relations, and occupational health and safety.

Strategy & Knowledge Development & Implementation

  • Manage office procurement and inventory of equipment, computers, office supplies and other assets, including proper maintenance.
  • Manage office registration and related compliance, including preparation and submission of reports as required by registration with the Malaysian government.
  • Facilitate review and/or renewal of office unit lease and insurance;
  • Ensure safe and reliable transportation options are available to support program and operations;
  • Work with the IJM global technology services team to ensure the office network system is secure and well-functioning, including coordination with IJM’s Regional IT Specialist and/or external contractors in providing effective IT support services to staff;
  • Oversee office and equipment maintenance, improvements, and repairs;
  • Ensure electronic filing and record systems are maintained, kept up-to-date and secured; and
  • Develop and implement strategies to achieve goals in all areas of responsibility.

Networking & Partnership

  • Coordinate the hosting of official office visitors and various IJM events that may be scheduled from time to time;
  • Identify and manage relationships with applicable government offices and external vendors according to IJM policies in all areas of responsibility; and
  • Closely collaborate with applicable members of IJM’s Asia Pacific Regional Operations Team in developing and implementing policies and strategies in all areas of responsibility.

Policies and Procedures

  • Lead the process of developing new or revised administration related policies and procedures, in line with IJM global policies and procedures, and recommending them to office leadership;
  • Ensure all HR policies and procedures comply with Indonesia labor law and other relevant laws and regulations, as well as IJM’s organizational culture, objectives, and standards; and
  • Ensure staff adherence to all HR and primary office policies, including the IJM Employee Manual, Finance Manual, Safety and Security Manual, IT Policy, and Child Protection Policy, among others.

Training and Development

  • Conduct and facilitate orientation sessions for new staff;
  • Identify staff care needs and oversee and organize logistics for all components of a holistic staff care and resilience plan; and
  • Conduct training need survey and identify training and development needs and opportunities and recommend and design training programs to meet priority needs.

General Accounting & Statutory Compliance

  • Responsible for Administration and HR budgeting; as well as monitoring spending and reporting on variances from the budget.


Education & Experience

  • Bachelor’s Degree required; Master’s Degree preferred
  • Progressive professional experience in office administration and/or human resources of at least 5 years;
  • Experience working with international organizations.

Technical Competencies

  • Effective communication that enhances productivity and facilitates positive workplace relationships;
  • Proven track record in budget management;
  • Strong research, writing and verbal communication skills in English and Bahasa Indonesia.
  • Proficiency with Microsoft Office applications, particularly Word, Excel and PowerPoint.

Non-Technical Competencies

  • Resilient and works well under stress with a sustained positive attitude;
  • Proven ability to lead cross-culturally to achieve significant outcomes and impact;
  • Strong leadership, management and coaching ability with high level of emotional intelligence; and
