The Need

IJM is seeking a qualified, creative and committed professional Coordinator, Administration to manage variety of smooth and efficient administrative support and office needs on a day-to-day basis. This position will also ensure that the program is well-supported administratively towards achieving program goals. This position will be responsible for adhering to all FO policies and procedures including maintaining/renewing vendor’s and supplier’s contracts and agreements.

This position is based in Phnom Penh, Cambodia and reports to the Head, People Operations.


Documentation, Reporting & Data Management:

  • Administer and maintain all IJM Cambodia’s contracts and agreements in a professional manner (office lease agreement, insurance coverage (staff, staff families & vehicles), vendor’s contracts, suppliers’ contract, etc.);
  • Manage the filing, storage and other documents (employees’ ISOPREP, emergency contacts, etc.), and liaise with submitting reports to relevant government ministries as needed;
  • Maintain all necessary records to ensure that the FO is well maintained, and administrative services are provided as required;
  • Ensure that all assets and inventory records are up-to-date and accurate with the system;
  • Manage the efficient schedule of rented vehicle, complete required vehicle rental form and process payment;
  • Maintain an awareness of the best practice in the FO procedures and the developments in the FO technology to ensure the continued effective and efficient running of the FO.

Networking and Partnership:

  • Build relationship with Ministry of Foreign Affairs and MOI’s Immigration Department in acquiring and extending an eligible valid visa for all expat staff, international interns, fellows and volunteers;
  • Work with the Ministry of Labor and Vocational Training in acquiring work permits for all expat staff and paid consultants.

Policies and Procedures:

  • Ensure IJM procurement policies and procedures are followed (Bid Collection & Comparison, Approval, Vetting process, Purchase Order, Bills, Invoices, etc.).

General Accounting & Statutory Compliance:

  • Prepare the annual budget for FO services and monitor expenditure against this budget;
  • Ensure that every procurement, purchase, or payment is done and cleared following IJM policies and procedures.

General Tasks:

  • Ensure that letter in/out is processing properly including opening and date stamp to the letters and all general correspondence;
  • Provide translation for work-related documents from English to Khmer and vice versa;
  • Perform other secretarial, administrative and clerical services to the office as needed.

Technology Support Assistance:

  • Work closely with the IT staff to enhance technology services in order to increase FO and administrative support workers’ productivity and make sure that the technology is applied timely and running properly;
  • Handle basic technology solution and troubleshooting for the office operations and events.


  • Bachelor’s in Business Administration, law or related field;
  • At least 3 years of experience in office and administrative management;
  • Excellent knowledge of written and spoken English and Khmer;
  • Computer proficient in Microsoft Office;
  • Excellent knowledge of all office systems;
  • Excellent interpersonal skills;
  • Excellent organization skills;
  • Excellent analytical, critical thinking, and problem-solving skills;
  • Meticulous in handling assignments and attention to details is a must;
  • Excellent Planning and Implementing skills; and
  • Agility to adapt to changing circumstances.

*What is a statement of faith?
A statement of faith should describe your Christian faith and how you see it as relevant to your involvement with IJM. The statement can either be incorporated into the cover letter or submitted as a separate document and should include, at a minimum, a description of your spiritual disciplines (prayer, study, etc.) and your current fellowship or place of worship.
