Regional Human Resources Senior Associate

Thailand, Cambodia, The Philippines, Asia Pacific

Overview

The Regional Human Resources Sr. Associate will work closely with the Regional HR Business Partner in providing HR operational support to specific business units or entities within Asia Pacific Region, in support of IJM’s global, regional and national objectives and strategy.

An important part of this role will be to support various stakeholders within Asia Pacific region in ensuring effective and efficient people services to staff in the Asia Pacific (APAC) Regional Office, Forced Labor Hub (FLS) and Hong Kong & Singapore Advancement Offices.

This position will be responsible for the full employee life cycle experience with key focus and responsibility around talent acquisition, on-boarding and development, particularly in the areas of staff well-being and staff spiritual nurture. The successful candidate will be responsible in maintaining confidential employee records. This position may also support the Regional HR Business Partner in regional communications, project implementation, policy roll-outs, and more.

This position will be located in Cambodia, Philippines or Thailand, as primary location. Or, anywhere in Asia where IJM entity is registered.

Roles and Responsibilities

Leadership and Management:

  • Ensure to have a clear understanding of IJM’s mission, program objectives and team’s goals.
  • Cultivating IJM’s brand and culture by celebrating and promoting organizational rhythms and core values.

Strategy & Knowledge Development & Implementation:

  • Support the team to ensure all staff, interns, fellows and volunteers have a clear understanding of IJM’s mission, operational values, global vision, and FO program, objectives and strategic goals.
  • Ensure efficient and effective onboarding and lead the recruitment process.
  • Ensure to promote adherence to all organizational policies and procedures.
  • Ensure efficient and timely people services, consultation and solutions to staff in prioritized teams or country offices.
  • Support the team to ensure participation in spiritual formation, staff-wellness, and capacity building plan.
  • Support the team’s efforts to foster an effective and efficient culture in the office to pursue excellence; leading and building the office culture to being results oriented, professional, and a trusting team.
  • Develop functions to aid, assist, and enhance employee HR experience in the organization.

Networking & Partnership:

  • Support the team in collaborating with other offices within APAC to bring about consistency in HR and business processes.
  • Maintain regular and clear communication, as well as collaborative and productive relationships, with team members across the region.
  • Promote collaboration with other HR leads in creating an environment in which coordination can thrive and worthwhile goals can be achieved.

Policies and Procedures:

  • Support the Regional HRBP and other stakeholders in drafting and implementing processes and policies in alignment with the organization need.
  • Stay up to date on the relevant labor laws; seek and take initiatives to suggest changes in the policies

Communication:

  • Communicate the policies, procedures and systems to staff and leaders, effectively and periodically to promote adherence.
  • Facilitate and maintain open lines of communication with all IJM’s functions

Documentation, Reporting & Data Management:

  • Document variety of relevant and required information, inputs and feedback and provide timely reports
  • Develop and maintain confidential employee files.
  • Ensure proper documentation of staff evaluations, discipline proceedings, terminations proceedings and exit interviews.
  • Support the team’s efforts to synthesize employee feedback, and trends and facilitate relevant solutions on an ongoing basis.

Events and Logistics:

  • Ensure support in coordinating logistics arrangements for retreats and other staff care related activities.
  • Ensure to support the events organized by IJM with various stakeholders.

General tasks:

  • Ensure to use staff-care resources and tools provided by the office to take good care of physical, emotional and psychological health.
  • Ensure to participate in the leadership development plan of the office.

Supervisory

This position has no direct reports.

Education & Experience

  • Degree in HR, Business or related field
  • At least 5 years of related job experience as HR Generalist/Administrator/Coordinator and/or Talent Acquisition Professional
  • Understanding of employment laws across APAC, preferred
  • Knowledge and experience of working on MS Office effectively
