The Need

The Sr. Assistant, NAD is responsible for managing the schedule of the team including meetings, conferences, and training. The Sr. Assistant coordinates the activities, manages the budget and makes sure that the day-to-day operation of the team is well-organized and that it runs smoothly. This also includes managing the administrative tasks, such as document and information distribution, report collation, and communication support. The Sr. Assistant also provides support to the team in the implementation of the project activities.


Manage the team’s schedules and administrative tasks:

  • Maintain a calendar of activities of the team and keep track of its implementation
  • Coordinate and arrange meetings with IJM interdepartmental teams and with external partners
  • Facilitate payment request, reimbursement, and liquidation for the team
  • Help input and track National AC budget
  • Facilitate travel request for the team
  • Procure and inventory of the team’s equipment and supplies.

Monitor Manila and Cebu Aftercare Teams data entries into CTMS relative to Aftercare’s Standardized Indicators:

  • Coordinate with the field office aftercare coordinators to ensure compliance of the team in entering data into CTMS
  • Make a report on the status of tracking the standardized indicators
  • Coordinate with the Lead, NAD Models of Care for the analysis of the data
  • Communicate with the team the status of the data entries into CTMS.

Documentation and Report Preparation:

  • Prepare minutes of the team meetings
  • Enter and update relevant events into the CTMS
  • Help document significant events and prepare reports as required in the project
  • Create, maintain and safe-keep all National Aftercare records
  • Consolidate the reports of the different teams and draft a report for DSWD
  • Prepare monthly and quarterly team report.

Support the team members in the implementation of the project activities:

  • Provide support during the team’s events
  • Assist in preparing the necessary documents needed for meetings and gathering
  • Help in the distribution of relevant information to partners
  • Assist in collating information or data for report preparation.

Represent the team in selected partners and working group meetings and events:

  • Represent the team in internal administrative meeting
  • Attend meetings with partners when needed.


  • Bachelor’s degree from accredited university
  • Expertise in MS Word, Excel and PowerPoint
  • 1-2 years of experience in a similar role
  • Oral and written communication skills
  • Fluent in regional language and English
  • Expertise in MS Word, Excel and PowerPoint
